Warranty Administrator/Claims Processor

Overview
Mechanical Concepts LLC is seeking a Warranty Administrator / Claims Processor to support our service and parts operations.
This role is a key support function within the operation—ensuring warranty claims are processed accurately and followed through to resolution, while supporting both internal teams and manufacturer relationships.
The right candidate will take ownership of the warranty process, stay on top of details and follow through, and work closely with service, parts, and sales teams to keep jobs moving, issues resolved, and customers taken care of throughout the process.
Key Responsibilities
- Review, process, and submit warranty claims in accordance with manufacturer guidelines and policies
- Track claim status and follow up with manufacturers to resolve delays, discrepancies, or outstanding issues
- Maintain accurate records of warranty work, including parts, labor, and claim documentation
- Verify warranty coverage and clearly explain warranty terms and conditions
- Work closely with the service team to coordinate warranty repairs and help ensure timely completion
- Track and order warranty parts as needed to avoid service delays
- Stay current on manufacturer bulletins, warranty policies, and procedures
- Assist the service, parts, and new equipment sales departments with warranty-related questions or issues
- Communicate with customers, technicians, and manufacturers to ensure a smooth warranty process
- Process freight claims for damaged shipments
- Process contractor claims for damaged or non-working products
- Assist with other warranty- and claims-related duties as needed
Qualifications
- Customer-focused attitude and ability to work effectively across departments
- Strong proficiency in Microsoft Excel and other Microsoft Office applications
- Excellent organizational and time management skills
- Ability to manage multiple tasks in a fast-paced environment
- Strong attention to detail and accuracy
- Strong written and verbal communication skills
- Prior experience in a service or warranty administration role preferred
- Knowledge of HVAC parts, repairs, and warranty procedures preferred, not required
Compensation and Benefits

Work Environment
